Accountabilities and Responsibilities:
The job holder is responsible for administration and full support of the following activities related to expatriate employees:
Manpower Budgets, FCs and 4YP, timely closure of Company’s HR Manpower system;
MBO, Objectives, Performance assessment, Feedback, Segmentation, and timely closure of HR system;
Compliance trainings, supervising the process and ensuring the completion within deadline set by HQ;
Assistance with yearly compensation plan and bonus payments;
Timely HR system update(i-Recruitment, Manpower plus, etc);
Providing support for implementation of Company initiatives, including but not limited to: Climate analyses; Cascade meeting arranging, social events;
Support for ensuring the timely mobilization of Company’s expatriate personnel;
Daily cooperation for administrative activities, including but not limited to work permits, invoicing, vacation trips, etc.;
Daily cooperation with expatriate employees, acting as HR focal point in Aksai, ensuring the application of Company’s policies and procedures;
Providing all types of report as per requirement;
Accommodation and travel administration
To ensure timely contract arrangements/ contract extensions for relevant services, including but not limited to: transportation, flights arrangements, office lease and maintenance, etc
To monitor and ensure all office transportation requirements are carried out accurately; to ensure all transportation is in good order and has timely annual technical certification;
To arrange and timely monitor hotel and ticket bookings, transportation for secondees and visitors, as per requirement in compliance with the policy;
To monitor and ensure timely update of the data bases and scan copies of TAFs on open data drive;
To keep record of in/out travels, to check invoices for the travel services rendered.
Customs clearance of Company freight;
Working with Estate agencies and Landlords.
Administration of secondees, includes but not limited to:
Providing support and ensuring timely submission of all documents required for KZ work permit process;
Preparing, getting approval and filing of necessary documents: contractual letters, secondment letters, call-offs, etc.
Constant interaction with Company’s recruitment agencies, ensuring the compliance with contractual conditions.
Arranging winter clothes, PAS details, other as per requirement;
Supporting secondees for other business needs approved by procedures.
Contract administration
Administer relevant contracts for Aksai office, ensure timely raise of requisitions, extensions, ACV revision, prepare docs for new tenders;
Check the invoices, calls-offs, acts of acceptance, ensuring the availability of backups.
Other activities as requested by Line Manager.
To ensure that all activities implying and mentioned above should be done in compliance with corporate standards, Company procedures and compliance MSGs.
