Accountabilities and Responsibilities:
Employment, movement, termination of new comers (locals, expatriates, contractors, secondees), including but not limited to:
To issue/update/fill in HR documents, including but not limited to employment agreements, orders, supplementary agreements and notification letters, secondment agreements and confirmation letters.
Assisting with HR Induction, including arrangement of ICT and HSE inductions.
Timely request for organization of desk, workstations, e-mail account, badge, etc.
Obtaining signature of employees on all forms required by company procedures.
Issuing of call offs upon requirement.
Arranging of benefits approved by Company, including but not limited to: Medical insurance, Fitness club, business lunch, transportation to office, bank cards, etc.
Keeping personal files updated.
Submitting all relevant documentation to payroll team.
Administration of termination process, ensuring that exit form is filled in and proper documents are submitted to relevant sections / department (ICT, payroll, receptionist, etc).
Contract administration
Administrating all contracts relevant to HR administration section for HR services, ensuring timely extensions, ACV revision and increase, preparing documents for new tenders.
Monthly checking invoices, ensuring the availability of backups and that contract value is not exceeded.
Secondment of local employees:
Arranging full package of documents required for WP of local employees at the country of assignment (notarization of the documents, liaison with legalization agencies, etc).
Administering employees during their assignment abroad, in terms of apartments, timesheets, expense claims, etc.
Timesheets and Time allocation
Ensure the timely collection of timesheets.
Prepare of time allocation based on received time sheets.
Liaise with Finance department for finalization.
HR and other relevant systems administration:
Timely and proper updating of the system with employee’s data for employment/ termination/ movements activity, documents, status change, etc.
Monthly verification of the systems of relevant companies on full compliance and update (monthly certification).
Timely updated of new comers list.
Compliance:
Cooperation for internal and external audits.
Reporting:
Assisting in Monthly, Quarterly, annual reporting to HQ and Authorities upon requirement. (including but not limited to cost of living analysis for HQ).
Other duties as required by Line Manager.
